Revision Drawing Preparation

General. This document covers the procedures to be used when producing/modifying CADD drawings which are to be issued as part of a contract modification. Changes to the drawing set are made by revision when they are required due to differing site conditions or other changes to the design that are required after the contract is awarded. The CADD Lead is responsible for insuring revision drawings are completed, delivered, and stored as described below. The CADD Lead may assign one or more of the tasks to
others; however, he/she is responsible for insuring the work is done in an accurate and
timely manner.

Cell References. Cells referenced in this document are included in the district cell libraries containing general symbols. It is assumed that the user is familiar with these libraries.

Product Development.
1. Verify that all the files from the project “05AMD” (or “amd”) directory have been copied into the “06REV” (or “rev”) directory. Changes to reissued drawings should not be made to the drawings in the “05AMD” (or “amd”) directory.
2. Make revisions as follows.

Reissued Drawings. Drawings are reissued when revision changes cannot be easily described with words. The project Lead Engineer or the Project Manager will usually provide new information and/or changes to be included in the reissued drawing. If the Project Manager directs the drawing revisions, be sure to
notify the Lead Engineer of the changes. Complete the following steps when preparing a drawing to be reissued:

A. Rename the sheet files as follows:
  1. In the “06REV” (or “rev”) directory, rename the sheet files with a “c” in the Phase Identifier of  the file name (replacing the “p” or “m”) for those files that are to be revised at this time. Do not change the drawing name unless the file is to be reissued.
  2. In each sheet file to be revised at this time, revise the file name in the title block area. (In the index sheet, do not change the schedule to match the revised file names.)
B. Revise the drawings by completing the changes or adding additional information as provided. REMEMBER: Follow steps c and d below for each revision being posted.

C. Place the following information in the title block to indicate that the drawinghas been reissued.

This information shall be placed beginning in the first blank line closest to the bottom. The Lead Engineer will furnish the revision number. The symbol and the description shall be modified to reflect that number. The
date shall be modified to reflect the month and year the revision was prepared. The approval box shall be modified to contain the initials of the appropriate branch chief.

CADD NOTE: Use cell RARVN1. If working with an old style border, use cell RARVNO1. It is not necessary to drop the cell. The text can be modified using the “Fill in Single Enter-Data Field” command in
MicroStation.

D. Place a revision symbol near each addition/change made to the drawing. If one detail has many changes, it is permissible to put one symbol adjacent to the view title.

CADD NOTE: Use cell RARVNS. It is not necessary to drop the cell. The text can be modified using the “Fill in Single Enter-Data Field” command in Micro Station.

Issuing New Drawings. Complete the following steps when preparing a new drawing to be issued by revision:
a. Drawings should be saved in the project “06REV” (or “rev”) directory b. A “c” should be placed as the phase identifier in the file name.
c. The index sheet shall be updated to include this new drawing. This needs to be indicated with a revision.
d. Complete the new drawing(s) as directed.
e. The issuance of a new drawing requires the same information above the title block as that of reissued drawings except that the description shall read as shown below.

CADD NOTE: Use cell RARVN2. If working with an old style border, use cell RARVO2. It is not necessary to drop the cell. The text can be modified using the “Fill in Single Enter-Data Field” command in MicroStation.
3. Generate CAL files of the revised drawings and place them in the project 02CAL/7Revision (or Cals/7Revision) directory.

Product Review and Delivery.
1. Print 1 half-size set from CAL files (drawings from this revision only) and give to Lead Engineer for review. CADD NOTE: Print by copying the CAL files to the \\Mvpengprt2\22x34to11x17_kip4000\ directory. Remember, if it doesn’t print correctly using this method, something is wrong with the CAL file
2. Once the new or reissued drawings have been approved and accepted by the Lead Engineer, print 1 full-size paper set (or the number that the Project Manager requests) of the revised drawings from the CAL files.
3. Give print(s) to the Project Manager.
4. Request Modification backup via the CADD web page. Remember to include the revision number in the request.
